# Schedule and Manage Committee Meetings in LoanOrigination.ca

> Schedule recurring or ad-hoc committee meetings, attach loan packages, send invites, track attendance, and record minutes with decisions logged directly to each file.

LoanOrigination.ca includes native meeting management so your loan and investment committees can convene without external calendar tools. You can schedule recurring sessions or call ad-hoc meetings when urgent applications arise, build an agenda, attach loan packages, and close the meeting with decisions recorded permanently on each file.

  <Step title="Create a meeting">
    Go to **Committee > Meetings** and click **New Meeting**. Choose **Recurring** to set a repeating cadence, or **Ad-hoc** for a one-time session. Enter the date, time, and location (or video link). Select the committee that will attend.

  <Step title="Build the agenda">
    Add agenda items from the list of pending applications. Each item pulls in the applicant name, amount, and officer recommendation. Drag items to set the order the committee will review them.

  <Step title="Attach loan packages">
    For each agenda item, attach the assembled loan package so members can review before the meeting. Packages include the application, credit memo, bureau report, and supporting documents. Members receive view-only access scoped to the review window.

  <Step title="Send calendar invites">
    Click **Send Invites** to dispatch calendar invitations to all committee members. Invites include the agenda, meeting link, and a secure link to pre-read materials.

  <Step title="Track attendance">
    During the meeting, mark members as present, absent, or excused. Attendance is saved to the meeting record and feeds into quorum calculations when votes are cast.

  <Step title="Record minutes and close">
    Enter discussion notes and capture motions in the minutes panel. When the meeting closes, decisions are logged directly to each loan file with a timestamp and meeting reference.

<Tip>
  Set a default recurring schedule, such as the first Tuesday of each month, so the system auto-generates the next meeting and reminds officers to populate the agenda.

  Meeting minutes and attendance records are immutable once the meeting is closed. If you need to amend a record, contact your tenant administrator.
